Data Deletion Policy and Instructions
To delete your data, email privacy@palva.io with the subject “Data Deletion Request”. Anyone can ask, wherever they live, without a Palva account and free of charge.
1. What this covers
- Conversations with businesses that use Palva — for example, WhatsApp messages, voice notes and photos you sent to a business — together with your contact details, transcripts, image descriptions, enquiry and lead records, and appointment details.
- Meta and WhatsApp identifiers and connection records held by Palva.
- Palva customer and staff account data.
- Support, usage and security records about you, subject to the limited exceptions in section 6.
Deleting data from Palva does not delete copies held separately by the business you contacted, by Meta or WhatsApp, or by other recipients — including the chat history on your own phone. You may need to contact them separately.
2. How to request deletion
- Email privacy@palva.io with the subject “Data Deletion Request”.
- Include your name, the phone number (with country code) or email address involved, the business you contacted, and the channel you used (for example WhatsApp).
- Say whether you want all of your data deleted or only specific records.
- If you are a Palva customer, include your workspace name. If the request concerns a WhatsApp Business connection, include the business or WhatsApp account name if you know it.
Do not send passwords, one-time codes, access tokens, payment card details or copies of your messages.
There is no self-service deletion button at the moment; requests are handled by our team by email.
3. Requests about a business that uses Palva
When you message a business that uses Palva, that business is normally responsible for your data, and you can also ask it directly. If you contact Palva, we will identify the business, coordinate with it, and delete the data as the business instructs and the law requires. We will also delete any data that Palva is independently responsible for.
4. Requests made through Meta
You can block or stop messaging a business on WhatsApp at any time. That stops new messages but does not delete data Palva already holds. To have it deleted, follow the instructions in section 2.
5. Verification and timing
- We may ask for limited information to confirm your identity — for example, a message from the same WhatsApp number. If someone asks on your behalf, we may ask for proof of authority.
- We acknowledge requests within 10 business days and give you a reference number for follow-up.
- We complete deletion, or explain why we cannot, within 30 calendar days. If a request is complex we may extend this where the law allows, and will tell you why.
- Deleted data is removed from active systems straight away and from backups through the normal backup cycle within 90 days. Until then, backups are protected and only used for recovery.
- We confirm in writing when deletion is complete.
6. Data we may keep
We may keep limited data where reasonably necessary to comply with the law (for example, accounting and tax records), prevent fraud or abuse, protect security, resolve disputes, record an opt-out, or show that we completed your request. If we keep anything, we will tell you what and why, unless the law prevents it, and we delete it when the reason ends.
7. Questions and complaints
Deletion requests are free. If you are unhappy with how we handled your request, email privacy@palva.io. You may also complain to the data protection authority where you live. Our Privacy Policy explains more about how we handle personal data.
